Our client is a well-known global provider of innovative transcription services. They offer a comprehensive suite of end-to-end digital voice and video capture solutions. Through intelligent automation, these solutions transform how content is captured, secured, and filtered into actionable information. Their expertise is spread across legal, criminal justice, government, media, corporate finance, and insurance organizations.

The sheer amount of recorded data collected daily by these organizations warrants enhanced digitalization of this action. Our client seeks to helps its cybersecurity-focused clients implement secure and legal methods to expedite recorded data capture, creation, and management. This preserves the integrity of the spoken word and video image. The ability to deliver meaningful data to customers has made our client a powerful name for digital media transformation and evidentiary workflow digitization.

Today, most people prefer remote collaborations and meetings resulting in an increase in the use of software platforms like Microsoft Teams, Zoom, Google Meet, etc. Organizations leveraging these platforms often need to capture audio, video, and enable screen shares from individual sessions. Each of these platforms is equipped with recording features. But there is a limitation. All these features can only record the session. They cannot:

  • Machine transcribe and diarize audio in near real-time into “Snippets” (short clips of
    diarized conversation) for data mining in the future
  • Retain an audit trail of actions taken by a user during a session
  • Diarize individual speakers using a single microphone
  • Replay session immediately upon completion
  • Group archived recordings
  • Add notes or annotations during the recording
  • Edit machine transcribed sessions

This lacuna created a significant market opportunity for our client. They envisaged capturing a huge market share among start-ups, mainly in the USA, and follow up on this success by later expanding to the UK and Canada.

Developing an AI-enabled voice and video capture platform with additional transcription capabilities would ideally help them capitalize on it. Also, they wanted to monetize the subscription plan opted by professionals.

We were approached by the client to develop such a product. There were two primary objectives we had to fulfill. One was to design and develop an AI-driven voice and video capture platform. The second was to align and integrate it with available client solutions like aiAssist, Netscribe, etc. Further, we also had to develop an admin panel that would control and monitor the workings of the entire system.

Integration with Existing Client Solutions

To seamlessly integrate our application with existing client solutions we had to sync new services with the broader product ecosystem of our client. This required careful alignment of APIs and data structures to ensure cross system compatibility and functionality.

Real-time Audio Processing

Developing a system capable of processing audio in real-time with low latency was a significant challenge. Achieving high accuracy in speech recognition under these constraints was difficult as there were associated issues like overlapping speech and background noise.

Diarization of Speech

We had to handle complex audio scenarios such as diarizing overlapping speech and varying speech dynamics which were crucial to identify and attribute speech to the correct user accurately. This is a common challenge experienced in multi-speaker environments.

Domain-Specific Audio Challenges

The system had to be tailored to recognize and correctly interpret domain-specific terminology and secure communication. This necessitated the development of specialized machine learning models and security protocols.

User Edit Facilities

Implementing user-friendly edit capabilities using the bouncing ball technology was particularly challenging. While it allowed users to interact with and modify transcriptions dynamically, it also required the interface to be intuitive and responsive to maintain user engagement and accuracy.

Text and Terminology Standardization

We also had to pay meticulous attention to detail in standardizing text and terminology across the app to prevent confusion and maintain professional quality standards. This included revising incorrect phrases and ensuring consistent naming conventions for technical terms, something that was extremely challenging and time-taking.

Client Goals

The strategic vision of the client included enhancing user satisfaction through simplified interactions and new functionalities

  • Develop a web-based application for casual/retail customers to expand our client's services and include non-subscriber users and organizations
  • Open-up revenue opportunities by allowing casual users to access client services through an eCommerce platform
  • Simplify existing customer interaction with the client billing systems by making the process more intuitive and user-friendly
  • Improve the efficiency of back-office systems by automating processes and enhancing the system architecture to support the new web-based applications, reduce manual labor, minimize errors etc.
  • Ensure that the application serves a global audience by initially focusing on US market penetration followed by expansions to the United Kingdom and Canada
  • Expand the service offerings to include different types of sessions such as in-person, mobile, and virtual, tailored to meet the needs of different user segments

Solutions Provided

We chose Microsoft Teams as the proposed platform for the “Snippets” solution. The capabilities and comprehensive APIs offered by MS Teams helped us zero in on this selection. Also, the current client solutions were built on the Azure foundation, helping justify this choice further.

Before we proceeded, we needed to define our target audience and challenges. We planned to follow it up with the actual solution offered.

Whether clients or professionals, all users must be able to register and use this solution. Users mainly included people involved in court work and law enforcement, law firms, insurance, government, media interactions, corporate and finance, and transcription companies. Hence, our solution had to be compatible with both MOJ or Ministry of Justice and Non-MOJ users.

Primarily we had to conceptualize, design, and develop both the web-based and mobile-based versions. This had to be aligned with our client’s long-term vision of transcribing the data from audio/video recordings or conferencing. We had to think innovatively and leverage AI to develop:

  1. An exclusive commerce platform
  2. CapturePro Mobile 1.0
  3. Snippets 1.0

The work of the above solutions was to primarily generate transcription files both for casual users and subscribers. We also had to ensure that the user had the power to modify/change the transcription as required.

Along with the above, we had to develop a master admin dashboard to control the working of the developed solutions.
