A global leader in material handling systems required a streamlined and intelligent costing solution for their complex 3D conveyor system design workflows.

Business Challenge

The Client was using SAP’s Variant Configurator (VC) to calculate costs. The primary challenge was to overcome the limitations of SAP’s Variant Configurator (VC), which was too cumbersome and delayed in performance and made things harder for both the design and sales teams for their fast-paced project environment.

The client faced significant bottlenecks in cost estimation due to:

  • Lengthy response times from SAP VC.
  • Manual interventions during costing updates.
  • Difficulty handling over 13 million product permutations.
  • Fragmented data access between the design and costing modules.

These challenges directly impacted efficiency in sales quotations, manufacturing planning and pricing accuracy and extra pressure on project timelines, hence they needed a faster way to handle cost estimates.

Objective

The goal was to create a faster, easier way to get real-time cost estimates. To accelerate costing processes and enable real-time cost estimation, a new system was required. The goal was to integrate 3D design data from Autodesk Revit with a custom-built SQL-based Costing Module, seamlessly connecting to SAP Variant Configurator via APIs (Application Programming Interface) so the whole flow stayed connected. This enabled fast and dynamic costing directly from the design environment.

Solution Delivered

A robust, end-to-end Costing Module was developed and implemented with three main parts:

  1. System Integration Architecture
  • Revit to SQL: Engineers design 3D conveyors in Revit and define parameters (They enter all the needed specs like material type, motor, etc.).
  • SQL Middleware: Revit uses design data to query component costs from the costing database. SQL server acts as the intermediary database for fetching and storing costing data from SAP VC.
  • SAP Integration: APIs retrieve variant-specific BOMs and cost components from SAP into SQL tables.
  1. Real-Time Costing Workflow
  • Designers generate costed BOMs directly within Revit.
  • SQL module calculates direct/indirect costs, labour, and margin.
  • Sales teams review and adjust costs within Revit before submission.
  • On approval, quotations are auto converted to SAP sales orders using variant inputs.
  1. Custom Tools
  • A custom Z-table was created to maintain material and customer-specific costs.
  • Costing Sheet includes standard cost, distributor margin, and overhead.
  • Power BI dashboard support scoped for future reporting enhancements.
